- Carefully receive, record and direct all RFQ’s.Assist with customer requests. Interface with other departments to obtain necessary information and commitments. Report and check process with customers.
- Send out order confirmation letters for standard Thermotron equipment models, as directed.
- Provide direction to level 1 Applications & Sales Support personnel on how to answer basic customer inquiries.
- Formulate and maintain lead spreadsheets.
- Provide monthly lead reports to the Sales Department.
- Assist in the audit of departmental expense reports.
- Mail and track shipments of literature, overnight envelopes and special packages for departmental personnel.
- Interact with Engineering Release department in regards to drawings for customers.
- Assist in the communication of ship date information to both customers and field personnel.
- Enter sales orders as directed.
- Assist in obtaining corrected purchase order information as directed.
- Develop a basic knowledge of the price book and a basic knowledge of all Thermotron product lines.
- Interact with customers and Thermotron personnel at a high level and discern when higher authority should be involved.
- Train others in the responsibilities of attending the Thermotron production scheduling meetings.
- Handle and/or direct requests for assistance from Thermotron Field Sales Representatives.
- Assist with special shipping requests in coordination with Thermotron’s Traffic Department.
- Coordinate customer acceptance test visits.
- Attend production scheduling meetings on a weekly basis as needed.
- Communicate ship date information to both customers and field personnel.
- Monitor promised delivery and estimated delivery commitments – inform application engineers, field sales representatives and customers of changes.
- Assist in the audit of departmental expense reports.
- Train New Employees in phone usage, quotation formulation and basic lead procedures.
SECONDARY TASKS AND RESPONSIBILITES:
- Assist in the maintenance of open quote reports.
- Assist in typing, printing, copying and distributing quotations, correspondence, reports and mailing lists using equipment available to the Marketing Department.
- Process outgoing mail to the Domestic & International Sales Force.
- Assist with special mailings.
- Assist in maintaining files by looking up ship dates and abandoning quotes.
- Maintain customer files.
- May conduct quotation surveys by both telephone and email if this is needed. Determine when additional action needs to be instituted and communicate that need to the proper individuals.
- Attend Thermotron basic Equipment training and exhibit a proven ability to communicate product overviews.
