PURPOSE OF POSITION:

Reports to the Traffic & Shipping Supervisor with responsibilities supporting our Test Department Supervisor and Quality Department. Provides back-up for Traffic and Shipping Coordination.

PRIMARY TASKS and RESPONSIBILITIES:

  • Originating and maintaining Quality Job Files.
  • Entering Field Service Reports for Field Service Report Analysis.
  • Take professional telephone calls in the department respond and take detailed messages for personnel.
  • Preparation of Chamber Instruments (Certificates of calibration) for customers, outbound manuals and sales orders.
  • Processing Customer Response letters and sending out other materials to our customers.
  • Preparation of Certificates of calibration for Vaisala sensors to be included in manuals and for Sales Orders.
  • Maintaining the calibration system; sending in instruments, recalling instruments when they are due for calibration and arranging for instrument repair as needed.
  • Collect manufacturing timecards weekly and hourly timecards daily.
  • Supply test department with test packets.
  • Prepare certificates of conformity for UK shipments and for other customers, as requested.
  • Collect quality check-lists for custom products and verify receipt.
  • Schedule and reserve manufacturing conference rooms as needed by maintaining a “live” / online calendar.
  • Back up duties in the absence of the Traffic & Shipping Supervisor including;
  • Making U.L. & Serial Tags.
  • Check Tabs Book
  • Provide tracking to customers
  • Print shipping documents as needed and provide to the shipping teams and/or warehouse.
  • Update shipments on HFA and ship reports and distribute.
  • Perform customer/representative/carrier correspondence via phone or email. (In the absence of the Traffic & Shipping Supervisor)
  • Attend scheduling meeting when needed.
  • Provide Freight Quotes when requested.
  • Receive and maintain export and Haz training certifications.
  • Assist with filing and certification records or other files as needed.
  • Perform continuous improvement in the department in regards to forms, scanning, processes and all other duties as assigned.
  • Maintain Heat Treated Wood Certifications, Monthly Records and Material Usage sheets.
